Post Room – (Variant of P4W Postroom)
With everyone, almost, working from home a way was needed to distribute the post that was received. The P4W solution is good but relies on the post being sent to a client Matter.
Pigeonholes
The solution we used was to create a special Entity for mail and then Matters for each department, under that, each department then has an Agenda for each Fee Earner. The staff processing the post, sorted it as normal for physical distribution but then scanned for each user. This scanning went into the P4W Postroom solution but was then distributed to the individual’s pigeonhole. We used Task Centre to advise staff they had post. They could then read the post and file correctly to the right Matter.

- Post distribution replicated physical process
- Staff only needed to check when notified
- Post could not be filed without being seen by Fee Earner
- Intranet used to advise Department Heads if mail left unsorted, useful for holidays / illness
- Back up taken in case post “lost”
